This SOP guides front desk staff through the morning pre-check-in preparation. By 10 a.m., all guest registration forms, welcome drinks, room quality checks, and special requests should be fully prepared for a smooth check-in experience.
Procedure Steps
🕒 Step 1: Review Daily Arrivals by 10 a.m.
Access the PMS Today’s New Arrivals:
Check against PMS Calendar for accurate arrivals.
Identify VIP guests by logging into Expedia Extranet to verify VIP and Premium VIP status for arrivals. Tag as necessary.
🗂 Step 2: Organize Registration Forms in the Reservation Folder (AMPO)
Locate Registration Forms:
Find all guest registration forms in the reservation folder (AMPO), where they should already be pre-printed and pre-charged.
If a form is missing: Verify whether it’s due to a recent booking. If confirmed as a last-minute reservation, print the registration form immediately. Ensure this isn’t due to an oversight before printing.
Attach Keys to Registration Forms:
Place each physical room key on top of its corresponding registration form, ensuring easy retrieval for check-in, and that no key is missing.
Highlight any special details with Post-Its, such as VIP status, tour bookings, or package details.
🥂 Step 3: Prepare Welcome Drinks
Prepare welcome drinks based on available stock. Options include:
Smoothie 🥤
Glass of wine 🍷
Small bottled water 💧
Keep prepared drinks in the fridge for easy serving at check-in.
📑 Step 4: Organize Special Packages and Notes
Ensure any special packages (e.g., honeymoon) are set up in the designated rooms.
Refer to the Honeymoon Package SOP (link to be added) for details.
If a welcome package is needed, coordinate with housekeeping for timely placement.
🧹 Step 5: Room Quality Check
Conduct a quality check on each room designated for check-in.
Use the Room Inspection and Preparation SOP for detailed quality requirements.
Move each printed registration form from the "To Check" pile to the "Ready to Check-In" pile once rooms pass inspection.
Important Notes
Early Check-In: Early check-in is available at no extra cost, subject to availability, from 12 p.m. onward.
Guest Communication: Clearly inform guests of gate access after hours using the Gate Access After Hours SOP.
Reminder: Always refer to the checklist provided at the end of this SOP to confirm all tasks are complete.
